Commercial Property & HOA Camera Planning

For a managed property or HOA, the design is only part of the decision. The board or owner, property manager, residents, maintenance team and IT contact may have different responsibilities. Define the shared areas in scope and the process for viewing and releasing footage before equipment is selected.

    Plan from actual conditions

The details that change the design

    Planning factor / 01

    Common areas, not private spaces

Start with defined shared locations such as entrances, parking approaches, mail or package areas, amenity access and service doors. Consider sightlines, neighboring windows, private-use areas, signage and applicable privacy rules. Camera placement should be reviewed with the responsible owner or association; no blanket coverage is appropriate for every property.

    Planning factor / 02

    Who can see what

Document who may view live video, review recordings, export clips and approve a request. Use individual accounts and role-based permissions only when the selected equipment supports them and the scope includes configuration. Shared credentials make accountability harder and should not be treated as a default operating model.

    Planning factor / 03

    Footage requests and turnover

Agree on who receives requests, how time ranges and camera locations are identified, and how exported clips are stored or shared. When a manager or board member changes, include credential ownership and recorder access in the turnover plan. A system does not decide policy or adjudicate requests.

    Planning factor / 04

    Property infrastructure

Older buildings, detached amenities, garages and long outdoor routes may have very different cable paths and network access. Assess distance, existing pathways, weather exposure, power, PoE capacity and network segmentation at each proposed location. Do not assume Wi-Fi or internet service is a substitute for a properly planned recording path.

    Before a walkthrough

    Useful details to gather

    • Identify the owner/board decision-maker, property manager and IT/facilities contact.
    • Mark shared areas and explicitly exclude private or sensitive views.
    • Draft roles for live view, playback, export, request approval and staff turnover.
    • Record building age, detached structures, pathways, power and network access.
